FleetNotebook (“we,” “us,” or “our”) provides software for exotic and luxury car rental fleet operators. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

1. Information We Collect
Information you provide
When you sign up or use FleetNotebook, you provide us with:
- Your name and email address
- Your business name
- Account credentials (password, hashed and stored securely)
- Information you input into the product (vehicle details, bookings, renter information, maintenance records, etc.)
- Messages you send through our contact form
Payment information
We do not collect or store payment card information. All payments are processed by Stripe. When you subscribe, your payment information is handled directly by Stripe under their own privacy practices. For details, see Stripe’s Privacy Policy.
Information collected automatically
When you use our service, our infrastructure providers (Vercel, Supabase, Cloudflare) automatically log technical data such as IP address, browser type, device information, and pages visited. This data is used for security, debugging, and understanding usage patterns. We do not currently use any analytics tools (Google Analytics, Mixpanel, etc.).
2. How We Use Your Information
We use the information we collect to:
- Provide and operate FleetNotebook
- Process your subscription payments through Stripe
- Communicate with you about your account, billing, and product updates
- Respond to your support requests
- Send occasional product announcements (you can opt out anytime)
- Detect and prevent fraud, abuse, and security issues
- Comply with legal obligations
- Improve our product based on aggregated usage patterns
We do not sell your personal information. We do not use it for targeted advertising. We do not share it with data brokers.
3. Who We Share Information With
We share information only with service providers necessary to operate FleetNotebook:
- Stripe — payment processing
- Supabase — database and authentication
- Vercel — application hosting
- Cloudflare — DNS and security
- Zoho — email infrastructure
Each of these providers handles your information under their own privacy practices and contractual obligations to us.
We may also disclose information if required by law, court order, or government request, or to protect our rights, property, or safety.
If FleetNotebook is acquired or merges with another company, your information may be transferred to the new entity as part of that transaction.
4. Data Retention and Deletion
We retain your information for as long as your account is active. If you cancel your subscription, your data remains accessible for 30 days in case you reactivate. After 30 days of cancellation, we delete your business data from our active systems.
Some information may be retained longer for legal compliance (tax records, fraud prevention) or in encrypted backups. Stripe retains payment records for the period required by financial regulations.
To request deletion of your account or data, email info@fleetnotebook.com. We will process your request within 30 days.
5. Security
We use industry-standard security practices to protect your information:
- HTTPS encryption for all data in transit
- Encrypted database storage (handled by Supabase)
- Row-level security to isolate each customer’s data
- Restricted internal access on a need-to-know basis
- Regular security updates to our infrastructure
No system is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.
6. Your Rights
Depending on where you live, you may have specific rights regarding your personal information.
US residents (California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, Virginia):
- Right to know what personal information we have collected about you
- Right to request a copy of your personal information
- Right to correct inaccurate information
- Right to request deletion of your information
- Right to opt out of the sale or sharing of your information (we do not sell or share personal information)
- Right to non-discrimination for exercising these rights

We may need to verify your identity before processing your request. If we deny your request, you may appeal by emailing us at info@fleetnotebook.com.
7. Children’s Information
FleetNotebook is a B2B service intended for adults operating rental fleet businesses. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice in the app. The “Last updated” date at the top reflects the most recent revision.
